Write a short, polite follow up for any guest post or link request, with send dates.

The free follow up email template runs in your browser, needs no sign-up and never sends what you type anywhere.
A good outreach follow up email is short (under about 100 words), sent as a reply in the same thread 4 to 7 days after the first email, and adds one useful detail instead of repeating the pitch. Send at most two follow ups, make the second one close the loop, and stop if the editor asks you to.
A follow up email generator is a template tool that writes a reply to your own unanswered outreach email. It reuses the original subject with "Re:", reminds the editor of the key detail, adds one new reason to reply and, for the final follow up, closes the loop politely; it also maps the send dates for each step.

Wait about 4 to 7 days after the first email, then send the second and final follow up about a week later. Editors are busy, and a gap of less than 3 days feels pushy. Skip weekends and, if you know their time zone, send during their working morning.
Send two follow ups at most, then stop. A third or fourth email rarely gets a yes and often gets your address reported as spam, which hurts delivery of all your outreach. If they reply no or ask you to stop, remove them from your list straight away.
You can pay for a placement, but Google treats buying links for ranking as link spam unless the link is qualified. Its spam policies say paid links must use rel="sponsored" or rel="nofollow". Be open about payment and never promise a client a paid followed link is safe.
| Step | Timing | What to write |
|---|---|---|
| First email | Day 0 | One clear idea, why it fits their readers, short bio |
| Follow up 1 | Day 4 to 7 | Reply in thread, remind the key detail, offer one extra help |
| Follow up 2 | About a week after follow up 1 | Close the loop, no pressure, then stop |
| They reply "no" | Same day | Thank them, remove from list, do not argue |
| They ask for payment | Before agreeing | Confirm rel="sponsored" or nofollow and disclose it to your client |
Example: a guest post pitch to Emma at GreenHome Journal went out on Tue 20 Oct 2026 with the topic "3 low cost ways to cut home heating bills this winter". The plan sets follow up 1 for Mon 26 Oct (day 5 falls on a Sunday, so it moves to Monday) and follow up 2 for Mon 2 Nov. Follow up 1 is a short reply under the original subject offering two other topics if this one does not fit.
Send it as a reply in the same thread with "Re:" and the original subject. The editor sees your first message underneath without searching, and it is clear you are not a new cold email. Only start a new thread if the first email went to the wrong address.
Remind them of the single key detail, add one new reason to reply (a different topic, the exact placement or proof the broken link still fails) and ask one simple question. Do not repeat the whole pitch or guilt the editor for not replying.
There is no universal best day. Avoid weekends and public holidays, send in the recipient's working hours and test your own results. Track replies per day in your outreach sheet for a month and use your own data rather than general claims.
Yes, most outreach tools can send follow ups automatically, but they must stop when someone replies, and each one should still be personalised. Bulk automated sequences without real personalisation get low reply rates and can damage your sending domain.
Commercial email laws such as CAN-SPAM in the US and the UK and EU privacy rules set requirements for marketing emails, including honoring opt outs. A one line opt out is polite and low cost. Check the rules for your country with a qualified adviser.
Usually the first pitch did not fit: the topic was off for their readers, the email looked templated or the site does not accept guest posts. Before following up, re-read their guidelines and recent posts, and adjust the idea instead of just repeating it.
